Responsibilities

  • Office Management Assistance

Management

Support the Board Members (General Director & General Manager) Directly with any ongoing projects with their schedule, work progress, etc. by performing all administrative duties to support the General Director & Manager, enabling them to be highly effective in executing their roles.

Provide Gatekeeper Role the General Manager. All documents that require further checkups must be handled by the individual of this position before being submitted to the General Manager.

Calendar/ Schedule Management – Oversee all events/ appointments/ meetings/ tasks that happen at the company and make sure to follow & keep up with them so that the board members can follow up without missing any occurring tasks (Daily/ Monthly/ Quarterly, etc.)

Maintain a High-Level Understanding of the Interdepartmental Process to Assist in Facilitating Appropriate Communication.

Provide the Board Members and the Internal Teams a bridge for smooth communication along with demonstration leadership for efficient management.

For Reported Documents, Meeting Minutes, Reports, Service Contracts, and Board Meeting Materials, frequently compose, proofread, and finalize when submitted.

Maintain Basic Knowledge of day-to-day processes at the HCMC Office under the General Director & Manager, to Assist in Recoursing as Needed.

Interact with Each Department Daily and Regularly to Keep Up with All Occurring Tasks.

Oversee Risk Management and Legal Activities.

Complete Critical Aspects of Deliverables and Special Assignments by Establishing Objectives; Determining Priorities; Managing Time; Gaining Cooperation of Others – Monitoring Progress; Problem Solving; Making Adjustments to Plans.

Perform Other Tasks as may be Necessary to Facilitate the Work of the General Director & Manager.

  • Factory Management Assistance

Overseeing Daily Activities of Factory Operations

Responsible for Planning, Coordinating, and Monitoring all Departments to meet requirements (with General Manager)

Updating the Production Manager/ Team Leaders on the status of Upcoming/ On-going Projects

Attending meetings with Suppliers, Clients, and others with the General Director/ General Manager to translate, record the results, and keep track (this could take place outside at the Factory or in the neighboring cities, etc.)

Prioritize Conflicting Needs; Handle Matters Proactively, and Follow through on Projects to successful Manufacturing Completion and Management

Maintain Basic Knowledge of day-to-day processes at the Factory under the General Director & Manager, to Assist in Recoursing as Needed

Requirements

  • College Degree (Associate/ Bachelor’s) Related to the Position
  • Work Experience in the Related Preferred (at least 6 months – 1 year)
  • MS-Office (Words, Excel, Powerpoint) Proficiency

English (Basic Communication Skills – Must be able to Communicate)
